Chapter 1

Introduction

 

AMERICAN PREP MISSION, PHILOSOPHY & PURPOSE

 

MISSION:

American Prep International School (APIS) is committed to the harmonious development of the whole person for student excellence in academics, character & personality, useful service, and global citizenship. Moreover, it intends to continue its tradition of being the first complete e-learning international school in Thailand.

American Prep stresses the Core-subjects (English, Math, Science) with e-Learning plus Talent Development and Self-discipline / Values.

 

PHILOSOPHY:

With highly qualified and loving mentors, American Prep has positioned itself to deliver its American curriculum which has recognizably well-crafted content standards. American Prep curriculum demands the best practices, high involvement, and serious engagement of the stakeholders. Through the collaborative efforts of the teachers, parents and the community, American Prep cannot fail in professionally achieving its mission, standards and objectives. High expectations are set for teachers and students with respect to continuous improvement in communication skills, creative imagination, contagious positive mental attitude, and contribution to society.

Hence, high student learning is the bottom line with emphases in the practical realities of life and problem solving skills so that the best in the students will be honed. Proper choices and creative imagination that links with the spiritual realm may lead them to happiness and success. This finds expression in the burning desire to cherish and pursue the divine mission to serve even the disadvantaged. This contextualized Western curriculum will bring value-added twists and flavor that impacts society in general through the transformation of the head, heart, and hands for the new generation with a new spirit!

PURPOSE:

APIS is established and developed to meet the increasing need and demand for high quality education for Thai and international students. The school will focus on maintaining excellence in learning, while integrating social and family values along with instructional technology into the curriculum.

 

 

 

Scope:

This Student and Parent Handbook is a living document. The contents and policies are subject to change, evaluation and amendment as the need arises, by mandate of the, Faculty Council, Administrative Council, and School Board.

 

Other specific aspects of our education

At APIS we endeavour:

  • To create an atmosphere of co-operation.
  • We make use of the learners’ available knowledge to move forward and obtain new knowledge.
  • The knowledge we impart to our learners is relevant and pertains to their everyday life.
  • Interaction takes place by trying to understand the learners’ questions, reasoning, investigation and research.
  • Evaluation/Assessment takes place before, during and after completion of every assignment or instruction.
  • Learners are taught to think and to solve problems: how to reason and how to find creative solutions.

 

A Family Atmosphere

APIS Primary  is not a big school and therefore every child receives individual attention. Each child is noticed and evaluated according to his/her abilities.

At APIS   we function as a large family.  Everyone knows everyone’s name and we frequently strive to make eye contact with our learners and teach our learners to treat each other and the teachers with respect.

 

 

Chapter Two

 

STAFF MEMBERS WHO SERVE WITH DIGNITY AND DISTINCTION

 

2.1  Staff Conduct

To ensure excellence in education, APIS  maintains a highly disciplined educational programme characterised by high standards of personal conduct. A staff member’s attitude, conversation and behaviour must reflect the character of the institution. Staff members of APIS are therefore required to maintain at work, private and in public, a behaviour that exemplifies courtesy, kindness, morality and honesty; to be of unquestionable character in dress, conduct and other areas of life. Behaviour that could bring the institution into disrepute such as indecent language, smoking, gambling, racism, listening to occult music, getting drunk on alcoholic drink, use of or talking favourably about narcotics, violent videos, films and pornographic material, fornication, adultery and the practice of lesbian or homosexual lifestyle, will be regarded as a serious breech of contract entitling APIS to summarily terminate such a staff member’s employment.

 

Teachers’ Duties (generic)

I understand that my specific duties include but are not limited to

  • Classroom teaching of assigned school subject/s. This implies inter alia:
    • Adequate planning and preparation for teaching as is evidenced by
    • Submitting of daily lesson preparation (once per week)
  • Preparing and maintaining a Teacher’s File that conforms to school requirements
  • Assessment of learning and recording of grades on the school server. This includes but are not limited to
  • Setting, administering and marking of tests and examinations
  • Submitting grades and other reports as and when required
  • Re-teaching subject content when adequate learning did not take place
  • Reviewing of subject matter before examinations or tests
  • Individualised and or remedial teaching as circumstances may demand
  • Maintaining classroom discipline within the context of the school Discipline Policy
  • Assisting with discipline on the school grounds or during excursions or other programs
  • Fulfilling various invigilation duties as school policy may demand (This may include but are not limited to supervision when a fellow teacher is absent, during exam time, during after school study time)
  • Week end or after school duties and responsibilities as may be required / assigned by the director/SMT
  • Attending and contributing to various meetings as may be required (staff meetings and sub-committee meetings).

 

 

3.4  Development of Staff

Excellence is the key concept undergirding the APIS mission and purposes.  This is especially true of the way in which educators perform their assigned duties.  In order to maintain excellence and to avoid professional stagnation it is necessary for each educator to grow and to develop continually on many fronts. In line with the above, the director will from time to time arrange teacher-development programmes at school or elsewhere and expect teachers to attend such programmes.

 

Essentially, however, professional growth and development should arise from a personal motivation and striving towards excellence.  With this in mind each educator is requested to regularly review his/her own professional development, using the following questions:

  • Professional expertise

Are my teaching and other aspects of my work soundly based on the latest knowledge and research in education, e.g. educational psychology, educational technology, curriculum development, methodology?  Or are my actions based on “gut feeling”, ad hoc approaches, and perpetuating the ways in which I was taught twenty or thirty years ago?  (What would you expect of a doctor?)

  • Professional performance

Am I consistently giving of my best and avoiding the “creeping slackness” that working behind closed doors for much of the time can encourage?  Is my performance as an educator characterized by a high standard of planning and preparation, thoughtful choice of priorities, a balanced and objective approach, and stimulating and enthusiastic commitment?

  • Professional service and pastoral care

How interested am I in the welfare and development of each pupil in my care? What actions demonstrate my interest and concern? How well do I know my learners and their individual needs? How do I react to learners who are uninterested, unmotivated, unpleasant or untalented?

  • Professional development

What am I doing of my own accord to improve my expertise and skills, without waiting for or relying completely on my employer to do this? What things show that I am not stagnating?

  • Professional motivation

What actions of mine prove that I am self-motivated, and not merely complying with school policies and job requirements that are being enforced?

  • Professional evaluation

Do I welcome feedback from my professional colleagues, to help to provide a better service to my pupils and the school in general?

 

 

3.6   Evaluation of Teachers

It is expected that each employee’s performance must be evaluated at least once a year. Church policy does not allow increment increases unless performance is up to standard.

 

 

Chapter Three

 

STAFF EXPECTATIONS

 

 

4.1 Teachers’ Dress Code

As it is the policy of this school to treat teachers as professionals, it is believed that teachers will maintain a standard of conduct that is appropriate to their standing as professionals.

 

Dress as a professional

  • This means that your appearance is neat and you are well groomed, your dress is more conservative than avant-garde, and more formal than casual.
  • On formal occasions, male members of staff are expected to wear a jacket.
  • Male members of staff need not wear ties, but are expected to wear a shirt with a stiff collar. Golf shirt style collars are not permitted.
  • On Fridays or other sport occasions sport clothing is acceptable.
  • Female members of staff should not have bare shoulders, (no spaghetti straps) or a bare midriff. No underwear should be visible.
  • Jeans should be chosen carefully, no faded or torn jeans will be permitted.
  • Sports coaches, and teachers who are responsible for coaching school sport and physical activities as part of Life orientation, should wear the appropriate sports kit for the sport concerned, or a tracksuit and track shoes.

 

4.2  Punctuality

  • Teachers need to arrive at school 30 minutes before the start of the formal school day and to remain at school until at least 10 minutes after the end of the formal school day.
  • If a teacher needs to leave the school site during school hours he/she needs to obtain the permission of the director. When a teacher leaves the school site he/she must inform the office before he/she leaves and again when he/she returns. This done in the interests of school safety and security, in case of emergencies. All such absences must be recorded on the appropriate form.
  • Teachers need to arrive at their classes so that the lesson can start punctually at its scheduled start time.

 

4.3  Attendance at school functions

All teachers are expected to attend specified school functions during the course of the year. These functions are normally set at the start of the year.

 

4.4  Meeting schedules and deadlines

Teachers are expected to attend all scheduled meetings listed on the school timetable: these include staff meetings, subject meetings parent meetings and meetings for professional development.

 

 

4.5  Absence from appointments

If a staff member can, for some or other valid reason, not attend a scheduled appointment it is expected that such a staff member should

  • Phone the director before the time to inform him of the absence and the reason for the absence
  • If the director can’t be reached on the phone a message should be sent to his phone and also to the phone of the school manager to inform them of the unavoidable absence.

 

4.6 Application for Leave

  • Each teacher is expected to complete an application form for leave.
  • The various leave policies are given in the letter of appointment

 

4.7  Teamwork

The only way in which APIS  can effectively accomplish its mission is if every employee (all support staff, teaching staff and management) approach their responsibilities in the spirit of “teamwork”. All the employees of the school function together as members of the bigger school team and also as members of smaller ad hoc teams. The following are the characteristics of successful team operations:

 

  • Mutual Support: Team members are mutually dependent on one another. This implies that they are also mutually supportive of one another.
  • Challenge: Teams have goals that are challenging but not overwhelming.
  • Singleness of purpose: The team’s purpose is clearly stated in its mission/mandate and all team members commit to accomplishing this purpose
  • Trust: There exists trust between team members and between team members and team leaders
  • Participation: In the best teams all members participate, but nobody dominates.
  • People skills: the best teams consist of team members who have developed the necessary skills to resolve conflict in the team and to work cooperatively to solve problems.
  • Accountability: Team members know their team’s goals and expect to be held accountable for reaching their goals. Self-assessment is a constant as well as striving for continual improvement in performance.
  • Reinforcement: “team-positive” behaviours and attitudes are rewarded and successful team achievements are celebrated.

 

Chapter Four

 

VARIOUS ADMINISTRATIVE ARRANGEMENTS AND EXPECTATIONS FROM STAFF

 

 

5.1 Registers

Homeroom teachers must record student absences on a daily basis in OpenSis

 

5.2 Teacher Planning and Preparation

Teacher planning and preparation comprises three distinct but integrated sets of documents

5.2.1    Daily lesson planning. This should be done in advance (at least one week). The planning should be on the school’s lesson plan form and should be available for checking every Monday morning.

5.2.2    Annual planning. (Course Outline – to be according to the school Course Outline form) Course outline planning may also be done in Moodle, for those teachers implementing Moodle)

5.2.3    Annual Assessment Plan. Formal and Informal assessments for each quarter must be indicated.

 

5.3 School Hours

Teachers are required to be at school by 7:30. There will be a short staff meeting and inspiration meeting each day. (See the specific policy and guidelines ….)

 

School begins at 8:00 with flag raising and homeroom and ends at 15:30

 

Teachers must ensure that during class time, optimal time is spent working with the learners, walking around the classroom, checking that learners are following the instructions they have just been given and helping the learners to realise that the teacher has her “finger on the pulse of the class”.

 

Marking books should not be done during the vital time, when the teacher can further guide or assist the learners. Marking should be done during free periods, breaks or after school and should not be regarded as “extra work”. The marking of tasks and tests form part of the teacher’s over-all job. If it is necessary to mark the book or work with the child it can be done in class with the child.  Teachers should do their preparation and photocopying in the afternoon, or during breaks and admin periods. Making/receiving personal phone calls or browsing the internet/Facebook during teaching time is strictly forbidden)

 

5.4 Staff Meeting

Staff meetings will be held regularly as indicated on the school calendar to facilitate communication between the staff and the smooth running of the school.  The staff meeting is usually on Monday afternoon from at 15:4. Minutes are taken at each meeting.  One of the teachers may be appointed to take these minutes.

 

5.7  Parent Information Meetings

Parent/teacher meetings are usually scheduled three times per year. Parent meetings are often arranged in such a way that an educational talk is given by a knowledgeable person. Parents also have the opportunity to discuss their child’s progress with the subject teachers after the meeting.

All staff members are involved in various committees/teams that plan and execute activities for the smooth running of the school. The teams and their make-up may change from year to year.

 

Chapter Six

 

SCHOOL ASSESSMENT POLICY

 

7.1 Introduction

Before an educator assesses learners, it is crucial that the purposes of the assessment be clearly and unambiguously established. Understanding the purposes of assessment ensures that an appropriate match exists between the purposes and the methods of assessment. This, in turn, will help to ensure that decisions and conclusions based on the assessment are fair and appropriate for the particular purpose or purposes.

 

The reasons for assessment at APIS  include

  • monitoring progress and providing feedback,
  • diagnosing or remediating barriers to learning,
  • selection,
  • guidance,
  • supporting learning,
  • certification and promotion.

 

From the learner’s point of view assessment helps learners to

  • gauge the value of their learning.
  • It gives them information about their own progress and
  • enables them to take control of and to make decisions about their learning.

In this sense, assessment provides information about whether teaching and learning is succeeding in getting closer to the specified Learning objectives. When assessment indicates lack of progress, teaching and learning plans should be changed accordingly.

 

From the above it is very clear that in the APIS curriculum, learning and assessment are very closely linked.  Successful learning depends on effective assessment and effective assessment supports successful learning.

 

 7.2 Guidelines for the APIS   Assessment programme

The following guidelines form the foundation of the APIS Assessment Programme:

  • “Integrated teaching” will precede “integrated assessment”
  • Assessment will integrate with teaching rather than be “added on” to teaching.
  • Planning for assessment will be integrated with planning for teaching.
  • Assessment will relate directly to teaching objectives.
  • Assessment practices will also take cognizance of general educational objectives (personality and character development).
  • “Formative” and “summative” assessment will be balanced. The emphasis will be on “formative/diagnostic” assessment.
  • A variety of forms of assessment will be utilized.
  • The results (or outcome) of assessment will be reported to the stakeholders in a meaningful manner that is congruent with the purpose of the particular assessment.
  • Assessment practices must be kept as simple and uncomplicated as possible.

 

 

  • Administering Assessment at APIS  
  • Educators, for every subject taught, prepare an outline summary of all the formal assessment tasks and activities that are planned for the year. This yearly assessment plan is divided into the 4 academic cycles as determined by the school administration and as indicated on the school’s calendar of events.
  • This annual assessment programme and the implementation thereof is monitored and moderated by the School Assessment Team (SAT) to ensure that it is in line with the assessment guidelines mentioned in paragraph 2 above.
  • Working mark sheets, assignment descriptions, rubrics and memoranda are submitted by the educator to validate the results of his/her assessment.
  • At least 10% of assessments are moderated internally by an able educator.
  • After moderation and academic control have taken place the results of the assessments are passed on to the school administration for processing.
  • Processing of results imply capturing, printing, analysing and reporting to the relevant stakeholders.

 

 

7.6 Analysis of marks  

  • After each assessment cycle the marks of all learners/subjects are scrutinized and a subject analysis form is completed. From these results, written reports—serving as feedback information—are generated and made available to teachers, learners and parents.
  • Teachers use this information—if necessary-to make adjustments to their teaching.
  • Supportive parents use this information to provide continued or additional moral and or other support and non-supportive parents.
  • learners use this information to assess their own rate of progress and to make personal adjustments to their learning efforts, if needed. In addition
  • Learners who did not achieve the expected aims/goals are called in for individual counselling by the teacher or director
  • Parents/guardians are invited – in writing – to visit the school and to meet with the teacher/s concerned and to try and work out a combined strategy to improve the situation.

 

 

From this it is clear that the main focus of assessments and the resultant reporting of the results are formative and developmental.

 

Notwithstanding the formative and developmental purpose of most assessments/reports APIS   assessment policy also mandates each assessment report to have some summative value.

7.8  Exam Papers and Memorandums

All examinations of the last year must be kept in the test/exam file.

Examinations and memorandums must be available for inspection at all times.

When examinations are set up, attention must be given to the following:

  1. Differentiation:
  • All learners must be able to answer 70% of the questions asked, if he/she studied.
  • 20% of the work must show evidence of a higher standard and 10% of the questions must be thought questions.
  1. The weighting of each question must be clearly shown on the Question Paper.
  2. Total and time needs to be shown on the first page.
  3. When setting up an exam, you need to continually research the following documentation.
  • Time allowed for the subject.
  • Duration of Question Paper.
  • Ensure that the learners received the correct textbooks, files or handbooks in order to do preparation.
  • When setting up the memorandum you need to clearly write the detailed mark next to the answer.

 

Assessment Procedure

  1. Exams are moderated director
  2. Exams are written, thereafter test analysis is compiled and signed by: teacher and director.
  3. Marks are recorded by teachers in OpenSis

 

Chapter Seven

 

MANAGING DISCIPLINE

 

Praise Encouragement

 

At APIS   we believe that the best way to encourage good standards of behaviour in school is to support a positive ethos with a balanced combination of praise, encouragement and discipline (punishment), used equitably for all groups of children.

 

  • Our response to the behaviour of others is most effective when it is constructive and positive.
  • Praise and encouragement should be, in most circumstances, an immediate response to positive behaviour.
  • Praise and encouragement should be seen as a celebration of positive work or behaviour.
  • Praise and encouragement should be seen as fair, but be appropriate and in proportion to the child and the positive behaviour.
  • The whole group should not always benefit from the positive effort of a few.
  • The child and his peers should understand why praise is offered.
  • We all respond and benefit from the demonstration of affection and compassion. On occasion, therefore, we will use appropriate and sensitive physical contact to reinforce positively this aspect of our relationships.
  • We respect and respond to the desire of others to decline such physical shows of affection.

 

Discipline (Punishment)

  • Boundaries of acceptable behaviour should be clear to all members of the school community.
  • Discipline should not be vengeful, humiliating or degrading.
  • Discipline should be appropriate in proportion to the child and the incident.
  • Discipline should be seen as fair.
  • Poor behaviour and the resulting discipline should be seen in the context of the time, place and activity in which it occurred.
  • Children should understand why they are being disciplined.
  • Whole groups of children should not be disciplined for the activities of a few.
  • Individuals should not be made scapegoats for the activities of a group.
  • If behaviour is exhibited that is self-injurious, aggressive, disturbing or distressing, physical intervention may be necessary. This will always be the absolute minimum required by the situation and will be within the specified guidelines in this Code of Conduct.

 

1.5 Guidelines for Dealing with Poor Behaviour

  • Try to make statements rather than commands e.g.” I think that there is too much chatting.” “Perhaps we could try to work more quietly, rather than “be quiet!”
  • Try to describe the behaviour and not the child e.g. “I am not happy with the way you speak to the other children”, rather than “You are a rude girl”.
  • Try to remind children of school rules in a positive way e.g. “Remember that we put up our hands when we want to say something”, rather than “Don’t call out”.
  • Try to emphasize positive behaviour and ignore minor infringements.
  • Try to speak politely when requesting poor behaviour to desist.
  • Try to reach realistic short-term targets e.g. “Five minutes to finish work”.
  • Ask the child or group for their ideas as to why you may not be pleased and how the situation might be resolved.
  • Use distraction tactics.
  • If possible remove immediate pressures and any background stimulations. Try to reduce tensions by talking to the child individually.
  • Make directions/requests clearly and confidently. Let the child know you expect him/her to comply.
  • Avoid confrontations and power struggles as this could increase the pupil/s anxiety and create resentment. This places the teacher in the role of an opponent rather than someone to be trusted.
  • Keep your voice calm and speak slowly. This allows pupils to attend more to the word you are using rather than only your angry and loud tone.
  • Use eye contact sensitively. Keep talking to the child to keep communication open.
  • Be aware of yourself and your reactions. Try to determine whether your mood may be affecting your objectivity and tolerance.
  • Whenever possible call for assistance before engaging in physical restraint. Having a second person present is a safeguard, both as a witness and to assist if necessary.

 

  • Suggestions for “preventative” discipline in the classroom
    • Let the learners enter and leave the class in an orderly and quiet manner.
    • Never compete with some talking when teaching, but insist on absolute silence when speaking.
    • Do not waste time. Get busy immediately after the last learner has entered the classroom, and keep the learners’ attention or let them work until the last minute. Every minute of the period must be utilised, because, if the learners have “idle” moments, they will get up to mischief, in which case the teacher is usually to be blamed!

 

1.6 Rewards/Commendations

These should be clear and consistent. They should be fun. Change them if they do not work well. Make them achievable. Talk about them and share them with pupils and staff members. Use verbal praise consistently and tell the learners why you are pleased with them e.g. “You have raised your hand when you want to speak, excellent, I am pleased that you remembered”.

 

1.7 Consequences

The consequences for transgression of a rule must be clear and concise and all members of the class must understand them. The rules and consequences should be explained daily so that the learners can understand and own them. A teacher may want to visually reinforce the consequences when a rule is broken e.g. a “sad face” might be put on a chart if a learner breaks a classroom rule.

 

1.8      Punish With Dignity

  • Corporal punishment is not allowed
  • Never shout at learners. When a teacher loses his temper, he should rather lower the tone of his voice!
  • Never berate a learner severely in the presence of the whole class or other learners. Rather set up an appointment with him/her and discuss the problem privately after class or after school.
  • Do not punish the whole class when only one or two learners are involved.
  • Punishment should not interfere with a learner’s opportunity to perform well in school. E.g. it is not a good idea to confiscate school workbooks or textbooks permanently. (Educators are sometimes tempted to do this when they catch a learner working on another subject in his or her class).
  • Do not detain learners when they have another appointment elsewhere, unless prior arrangements were made with the other staff involved.
  • The director as “punishment officer”
    • Punishment by the director for an offence committed while the learner is or was under the teacher’s jurisdiction should be considered a last resort.
    • Because the ultimate authority for the discipline at the school rests with the director, he may be called upon to help a teacher with maintaining of discipline.
    • The director will take such requests seriously, and will help in what he considers to be the most appropriate way.
    • Teachers should, however, guard against misusing this support.

 

The following should be kept in mind:

  • When learners are sent to the director, the teacher should, as a general rule accompany him/her and give to the director a full account of the problem. This will save much time and will prevent gaps in the communication process. A written note is usually a second best option and should be avoided if possible.

 

  • Abdication of responsibility The following forms of abdication of responsibility are not acceptable:
    • Do not threaten to stop teaching as a method of punishment. You cannot tell the class that you will not teach them before this or that has happened.
    • A teacher may never tell a learner: “get out my class and never come back.   “I refuse to teach you forthwith”. This teacher is overstepping his authority and creates a very embarrassing situation, because the director will definitely order the learner back to class, which may be humiliating to the teacher.

 

1.8  Teacher’s Classroom Log

Each teacher must keep a classroom Log Book (one page per learner). In this logbook notes are made of learner behaviour, either negative or positive. These notes serve the purpose of providing an accurate overview of learner behaviour at any point in time. The notes are an invaluable help to provide insight when decisions need to be made about discipline or merits certificates etc.

 

1.9 Recording of Events – Teacher

It is important that all discussions, problems, requests or visits from parents to the school/office be recorded.  The date, event and people involved must be recorded in the report.  The record is also kept on the learner’s file.

 

 

 

Chapter Eight

 

TEACHER’S SUBJECT FILE

 

9.1 General

Each teacher should prepare Subject Planning Files for each subject and class level taught. Content details should be prepared at least a term in advance.

 

Subject files must be regarded as functional working documents and should be prepared with the realities of the teaching situation in mind and not only for the sake of inspections.

 

9.2  Specific Guidelines:

  • Subject planning documents are the property of the school and should be left at the school when the teacher leaves or accepts the responsibility for teaching another subject or grade.
  • It is extremely important that an adequate mark book is kept in which a record of the results of all tests and examinations are recorded. Keep in mind that the school follows a system of continuous evaluation and that all tests, assessments and examination should be included in the final grade.
  • Preparation for classes should be done at least a week in advance. The daily lesson plan book/file should be on the director’s desk before school starts every Monday. The lesson planning for the following week should then be completed. The teacher shall do the planning of her lessons with sufficient detail so that a relief teacher may use the book.

Chapter Nine

 

VARIOUS RULES, PROCEDURES AND PROTOCOLS AT APIS  

 

10.1 Computer Room

The Computer Room is for the use of the learners and the teachers. There is a timetable (roster) when it is each class’s turn to use the Computer Room.

 

10.3  School Board

The School Board usually meets as called to discuss matters pertaining to the school.

 

10.5 Assessment of New Learners

All new learners are assessed as to their academic level before they are admitted to the school. The director or someone designated by the director performs this assessment.

 

 

10.6  Rosters

Every quarter each teacher receives a roster for playground duties. It is the teacher’s responsibility to make alternative arrangements if he/she cannot be at the assigned time attend to these duties.

 

10.7 Certificates

Merit certificates – and other rewards- are issued at regular intervals throughout the year and also at the end of the school year.

 

  • Monitoring of classroom teaching
  • The general approach to the monitoring of classroom teaching/delivery is not to interfere unless there is evidence of poor delivery—This is especially true for senior teachers.
  • Junior teachers are placed under the direct supervision of the relevant Head of Department or another senior teacher. The Head of Department stays in close touch with the junior teacher and may do classroom visitation from time to time. Classroom tests and other teaching/testing activities are also screened.
  • The director or his/her designee visits the classes of each teacher at least twice per year. A school teaching assessment form is used and written feedback is given to the teacher.

 

10.12 Office rules and procedures

 

The following guidelines and procedures have been formulated in order to enable the administrative staff of the school to accomplish their respective tasks with maximum efficiency. Your consideration and cooperation will be appreciated.

 

 

Offices

The offices of the school manager, director, accountant and registrar are their private workspace and should be respected as such. Teachers should not just enter into the office at will. Chapter 10

 

APIS GRIEVANCE & DISCIPLINARY PROCEDURES POLICY

 

  1. INTRODUCTION

The operation of APIS   is based on Biblical philosophy. Foundational to the school’s ministry is the concept of teamwork built on the foundation of Christ-centered relationships.

 

It is essential that the relationships be preserved. To this end it is believed that it is in the mutual interest of both employees and employer to set up and maintain a grievance procedure that is capable of resolving employee dissatisfaction and to bring about reconciliation and restoration where relationships have been disturbed. This will be done within the context of the school’s policy, Biblical principles and current legislation.

  1. DEFINITION

A grievance is any dissatisfaction or feeling of injustice, on the part of the employee, in connection with an employee’s work and employment situation.

  1. GENERAL PRINCIPLES
    • The principles of commitment and forgiveness should always form the basis of dealing with grievances.
    • Resolving of grievances must be given a high level of priority and must be

attended to as soon as possible.

                3.3   Conflict or grievances must be dealt with on a personal and confidential basis.

3.4   Grievances must not be discussed with third parties.  Attempts should be

made to resolve it on an individual basis.

  • An employee is entitled to request assistance from another employee in

presenting his or her case.

 

If the grievance is between staff members this must be resolved by the members involved.  Should the situation not be able to be resolved at a personal level, the matter must be taken to the school Director who will arbitrate and try to bring about reconciliation on the matter.  Should this prove unsuccessful the specific procedures outlined below should be followed.

 

Should the grievance involve the Director, the matter must be discussed with him or her directly at the earliest convenience.  Should this prove unsuccessful, the specific procedures outlined below should be followed.

 

  1. SPECIFIC PROCEDURE

STEP 1:               Employee to Immediate Supervisor

The employee may, with the assistance of a colleague, if he/she so wishes, approach his/her immediate superior and lodge the grievance verbally.  The immediate superior shall attempt to resolve the grievance with the assistance of the employee.  Should the parties fail to agree, step two should be instituted.

 

Should the grievance involve a third party, such a person must be informed of the meeting and the procedures applicable to a disciplinary hearing should be adhered to.  The third party will also be entitled to the assistance of a colleague.

 

STEP 2:           Employee to School Director

If the matter is not resolved to the satisfaction of the employee concerned within the specified period of 48 hours, excluding weekends and public holidays (first period), he/she shall apply in writing on the prescribed form through his immediate supervisor to the School Director for a hearing concerning his grievance.

 

The immediate supervisor shall pass the application on to the

School Director for a hearing within a further period of 48 hours, excluding weekends and public holidays (second period).

 

The latter shall then convene a meeting within a further period of 48hours, excluding weekends and public holidays (third period) to be attended by the employee concerned, a representative of his choice and the immediate supervisor.   The employee may submit any evidence relevant to his/her grievance.  The School Director may also discuss the matter or meet with any other persons that he/she deems fit and shall consult with the immediate supervisor concerned before reaching a final decision.   The School Director shall communicate this decision to the employee in writing.   A copy of this letter shall be placed on the employee’s personal file.

 

STEP 3 & 4       If the employee is still not satisfied, then he/she may appeal to the Chairman of the School Board.

 

Thus the line of authority is as follows:

STEP 5.           TIMELY ACTION     –           EMPLOYEE

 

The employee must always advance the grievance from one step to the next within a period of 48 hours, excluding weekends and public holidays or else it will be taken for granted that the matter was resolved to the satisfaction of the employee concerned.

 

 

 

APIS   DISCIPLINARY PROCEDURES POLICY

 

  1. INTENTION

Disciplinary procedures are intended to promote the smooth and co-operative functioning of the school, the maintenance of high levels of excellence at APIS  , the effective implementation of the educational programme and the implementation of the vision of APIS  .

 

It is the right and responsibility of the school Leadership and Management Team to initiate corrective action where work performance or the behaviour, lifestyle of, and example set by the employee is unsatisfactory.

 

The APIS Primary Disciplinary Procedures Policy seeks to provide guidelines to both employer and employee on dealing with situations where the leadership and management team of the school is dissatisfied with the performance or the behaviour, lifestyle of, and example set by the employee.

 

  1. DISCIPLINARY PROCESS

In the event of an employee failing to comply with his/her conditions of employment or with the regulations of APIS   or with standing orders, the following procedure will follow:

 

  1. At the discretion of management the employee may receive a verbal warning.
  2. Should the seriousness of the charge warrant it, or should a verbal warning have failed to have the desired result, a disciplinary enquiry will be arranged.
  3. The employee will receive notice of the scheduled enquiry timeously to ensure that he/she is able to prepare for the enquiry.
  4. When warranted, at the discretion of management, an employee may also be suspended on full pay, pending a hearing.
  5. In the event that further investigations is warranted whilst an employee is suspended, the employee will be informed of the probable charge when he/ she is suspended, which has to be confirmed or amended in writing prior to the enquiry.
  6. The requirements for a fair hearing as laid down by the Industrial Court will be followed with specific reference to the following rights:

 

  1. As unbiased a chairperson as is possible;
  2. Representation by a fellow worker, if required;

iii.           The right to call witnesses;

  1. The right to plead in mitigation;
  2. The right to cross examine witnesses; and
  3. The right to appeal within two (2) days of the finding.

 

  1. An employee may receive a written warning, a final written warning, suspension without pay or be dismissed, after having been found guilty, and having been afforded the opportunity to plead in mitigation.
  2. The disciplinary action taken will be in keeping with the nature of the misconduct.
  3. A written warning will remain on an employee’s record for a period of six months.
  4. A final written warning will remain on an employee’s record for a period of twelve (12) months.

 

  1. APPEAL PROCEDURE

In furtherance of the right to appeal listed in paragraph f vi supra the following procedure will be followed:

  1. An employee wishing to appeal should do so within two (2) days after the finding of the disciplinary enquiry.
  2. The appeal should indicate whether the appeal is against:
    • The procedure;
    • The finding of guilty; or
    • The disciplinary action taken.
  1. The nature of the appeal will determine whether the appeal hearing will be a de novo hearing where new evidence is allowed, or whether it will only focus on an aspect of the previous hearing.
  2. Should an employee be dissatisfied with the outcome of the appeal, he may declare a dispute with APIS .

POSITION SUMMARY

 

Under the direction of the Business Manager, the Accounting Officer performs professional accounting work, including auditing, analyzing and verifying fiscal records and reports, preparing financial and statistical reports, providing information to staff regarding accounting practices and procedures, and reconciling general ledger accounts; assists in preparing the annual and mid-year budgets; prepares year-end audit reports and schedules; trains and provides technical advice to lower-level accounting personnel, and performs related work as required.

 

The main reason for the position, in what context and what is the overall end result. The Accounting Officer is responsible for maintaining financial, accounting, administrative and personnel services in order to meet legislative requirements and support operations.(The way that the position contributes to and impacts on the organization)

 

The Accounting Officer reports to the Business Manager and the Director and is responsible in preparing financial statements, maintaining cash controls, preparing the payroll and personnel administration, purchasing, maintaining accounts payable and managing office operations. Failure to provide adequate services may result in lost or misused revenues, inaccurate financial statements and financial hardships for employees, contractors and suppliers if the payroll and/or accounts payables are not processed in an accurate and timely manner.
